Praxnote is in early access — we onboard every practice personally, and most of that work is included. These paid services exist for the cases where they earn their keep: a concierge migration from a legacy EHR, a custom skill library for a specialized modality, a structured supervision-program setup, or workshops for a larger team.

Concierge migration assistance

For practices moving from another EHR — primarily SimplePractice, TherapyNotes, Owl Practice, or Jane. Automated bulk-import tooling is on the roadmap; this package covers the gap with hands-on help.

Solo practice

Up to 200 active clients, single clinician.

$2,500

Small group

2–10 clinicians.

$5,000

Mid group

11–25 clinicians, custom mapping.

$10,000+

What's included

  • Joint working session to map your origin-system export into Praxnote's data model
  • Hands-on assisted entry of client roster, scheduling, intake documents, and active treatment plans
  • Calendar import via ICS / Google / Outlook (already automated)
  • Per-document AI extraction for intake docs and assessment PDFs (already automated)
  • Parallel-run period — keep your old EHR live, read-only, for chart history (signed-note history is not imported; retention stays in your old system)
  • A written playbook your practice keeps so the same steps work for late additions

Custom skill authoring

For practices with specialized modalities or assessment workflows the global skills don't cover.

Single skill

One skill, two rounds of revision, version-tracked.

$1,200

Five-skill bundle

Five skills, shared editing session, training included.

$4,800

Practice skill library

Comprehensive modality library, ongoing maintenance retainer optional.

From $9,500

What's included

  • Modality-specific draft templates (EMDR, IFS, somatic, ketamine-assisted, others)
  • Custom assessment scoring and interpretation skills
  • Practice-specific letter and discharge templates
  • Version-tracked in your practice — clinicians always see the current version
  • Editable in-product after delivery, so the skill stays yours

Supervision-program rollout

For group practices establishing or formalizing a supervision program with associates and supervisees.

Program setup

Two-week engagement, up to 5 supervisors and 20 supervisees.

$6,000

Training-program rollout

Post-graduate residencies, multi-cohort setup, custom reporting.

From $12,000

What's included

  • Role and permission design tailored to your supervision structure
  • Pre-signature gating configured by tier and by clinician
  • Supervision-meeting export templates (printable, sharable)
  • Supervisor workshop on keyboard triage and bulk approval workflows
  • Audit-log review and documentation handoff

Training

For practices that want guided onboarding instead of self-serve, or ongoing workshops as the team grows.

Team workshop

2-hour live workshop, up to 15 attendees, recorded for replay.

$1,800

Hourly office hours

Ad-hoc engineering and clinical-workflow help, block of 5 hours minimum.

$400 / hr

Quarterly retainer

Standing 1-hour weekly office hour plus async support.

$6,000 / quarter

What's included

  • Role-specific tracks: clinicians, supervisors, admins
  • Recorded for replay and onboarding new staff
  • Live Q&A on your real workflows
  • Optional: customized to your modalities and skill library
  • Includes a written summary and next-step list

How a services engagement works

Three steps. No surprises.

  1. 01

    Scoping call

30 minutes. We pick the package that fits, confirm timing, and write the statement of work in plain English. You either sign it or you don't. No fees so far.

  2. 02

    Fixed-price engagement

You pay 50% on signature, 50% on completion. The price is fixed even if the work takes us longer than expected. If we need more from you than we anticipated, we tell you before doing it.

  3. 03

    Handoff

You get the deliverable, a written playbook, and a documented handback. We don't keep keys to anything you've handed us. If you want ongoing help, retainers are available — but they're not the default.

Frequently asked

What practices ask about services.

Do I need services to use Praxnote?

No. Cloud is fully self-serve. Most practices migrate themselves, write their own skills if they need custom ones, and don't need formal training. Services exist for the cases where they save time or risk, not as a gate on using the product.

Why are the prices fixed instead of hourly?

Because we don't want our incentive to be "drag it out." Fixed pricing means our incentive is to finish well and move on. If a project turns out to be larger than we scoped, that's our risk, not yours. If it turns out to be smaller, the price doesn't change either — we put care into the scoping call so neither side gets a surprise.

Can services be bundled with the software subscription?

Yes, on Enterprise and Dedicated contracts. Group and Solo tiers are subscription-only; services are billed separately if you want them.

Do you work with US and Canadian practices?

Yes, both. US engagements are invoiced in USD; Canadian engagements in USD today, with CAD invoicing on the roadmap. The concierge migration package is the same on both sides of the border — SimplePractice, TherapyNotes, Owl Practice, and Jane are all systems we've helped practices leave behind, but the data work is hands-on, not fully automated.

What about insurance-billing setup?

Praxnote does not currently handle in-network insurance billing (claims, ERAs, denials). We don't offer migration or setup services for those workflows because the underlying product doesn't yet support them. Cash-pay and out-of-network billing setup is included in the standard migration package.

Ready to scope an engagement?

A 30-minute scoping call costs nothing.

We'll listen to what you're trying to accomplish, recommend the right package (or no package), and write a one-page SOW. You decide from there.
